ALLEGAN DISTRICT LIBRARY BOARD OF TRUSTEES
November 17, 2008
The meeting was called to order by President Susan Jerkatis, following the administration of the Oath of Office to Provisional Board members by City Manager Rob Hillard. Present were: Trustees Antkoviak, Bortz, Garofalo, Gavan, Hellmann, Jerkatis, Wott, and Director Perrigo.
The minutes of the October 20th meeting were approved. The monthly statistics and financial reports were reviewed. Trustee Gavan moved, seconded by Trustee Bortz, that all bills listed for October 2008 be paid. Motion passed unanimously.
LIBRARIANS REPORT:
Director Perrigo said that the items in her report will be covered as we go through the agenda.
COMMITTEE REPORTS:
A. Trustee Bortz reported the Friends are at present without a President, but that should be settled at their next meeting. They continue to plan for their upcoming programs, the next being a talk by John Pahl after the first of the year. The October book sale brought in over $600.00.
B. The Personnel Policy committee has met and are looking over a variety of comparable policy handbooks for ideas. They will be meeting again soon to iron out policies such as who gets paid in inclement weather and sexual harassment issues.
Director Perrigo reported a productive meeting with former City Finance Director Tracie Moored before she left her job. She assured Director Perrigo that it is not necessary for us to do all the footwork ourselves with regard to insurance, etc., and gave Director Perrigo the name of an administrator, Angela Garner (989-249-5960), who is a Public Service Employee Benefits expert who will help us. Director Perrigo will get dollar amounts to the proper committee so they will know what were dealing with.
The Finance Committee will be searching for payroll and building insurance options as well as policies regarding retirement and investments. Director Perrigo suggested an endowment with the Allegan County Community Foundation might be something to look into. Director Perrigo will be in touch with all committees for dates and times of meetings.
OLD BUSINESS:
A. Building improvements
1. Signage: Trustee Jerkatis received quotes of $140.00 and $146.00 for a temporary banner for the front of the building. Trustee Wott suggested we first get approval from the Historic Commission as they have strict size restrictions. Director Perrigo will call the people who did our old sign for a quote on a new permanent sign.
2. Rest Rooms: No news on this project at present. Director Perrigo had the gutters on the outside of the building cleaned and repaired. Shell call Officer Puente, of the Sheriffs Department, to see if well have snow shovelers available this year.
B. Letters to township treasurers: No townships have replied to Director Perrigos letter at this time; however, they could be awaiting the contracts, which she will be mailing soon.
NEW BUSINESS:
A. Resignation of Nancy Ingalsbee: Moved by Trustee Gavan, seconded by Trustee Bortz, that we send a letter to Nancy Ingalsbee stating that we accept her resignation with regret and appreciate her years of service to the Friends and the Board of Trustees. Motion passed. The letter will be sent by President Jerkatis.
B. New contracts for unserved populations: After a lengthy discussion regarding the contracts to be sent to Valley and Cheshire townships with regard to their residents who live outside the boundaries of the School District, it was suggested by Trustee Antkoviak that Director Perrigo clarify the purpose of the contract by explaining our intentions and how the result would positively impact their townships. This concerns 86 people in Valley Township and 146 in Cheshire Township. Director Perrigo will compose a cover letter explaining this, which will be mailed with the contract.
PUBLIC COMMENT:
Trustee Bortz informed the Board that Jude Hardin has volunteered to trim the librarys shrubs this Spring.
The meeting was adjourned at 8:04 p.m. The next meeting will be held on Monday, December 15, 2008, at 7:00 p.m.
